Terri Mason - Chair Person

CHAIRPERSON Current Roleholder:  Terri Mason E-mail: chair@queensburyrc.co.uk The Chairperson has a strategic role to play in representing the vision and purpose of the Running Club.  The Chairperson ensures that the committee functions properly, that there is full participation at meetings, all relevant matters are discussed and that effective decisions are made and carried out. Ensure the committee functions properly To ensure matters are dealt with in an orderly, efficient manner. To bring impartiality and objectivity to meetings and decision-making. To plan for recruitment and renewal of the Committee. Ensure the Running club is run effectively To liaise with the Club Officials as appropriate, to keep up to date with running club activities. To co-ordinate the committee to ensure responsibilities for particular  roles within the running club are met. To facilitate change and address conflict within the running club, liaising with the club secretary to achieve this. Represent the Running club To communicate effectively the vision of the running club. To represent the running club at external meetings and events. To be aware of current issues that might affect the running club To inform the Management Committee in advance of any meetings that cannot be attended.

Robin Naylor - Club Secretary

SECRETARY Current Roleholder: Robin Naylor E-mail: secretary@queensburyrc.co.uk Responsibilities: Act a main point of contact for England Athletics (‘EA’). Maintain up to date records on the EA online portal e.g. registering all new members, renewing memberships, updating contact details, raising invoices when appropriate. Dealing with general enquiries from members. Recruiting marshals for races we support. Representing the club at Airedale Athletics meetings and West Yorkshire Winter League AGM. Organising 2-3 meetings of the club officers each year. Writing up the minutes of the AGM. Keeping club members informed on a regular basis e.g. monthly email updates, discount codes, forthcoming races etc Assisting with the organisation of the annual QRC awards. To inform the Management Committee in advance of any meetings that cannot be attended.

Andrew Dovenor - Treasurer

TREASURER Current Roleholder:  Andrew Dovenor E-mail: treasurer@queensburyrc.co.uk Responsibilities: Collect Annual Membership Fees from members Maintain register for guests, collect £2 fees. Inform Club Secretary of any new members Collate weekly figures of runners attending each training session Pay all invoices Assist with any functions relating to QRC Maintain records of all incomings and outgoings Deliver financial results at AGM To inform the Management Committee in advance of any meetings that cannot be attended.

Nicola Lee - Welfare Officer

WELFARE OFFICER Current Roleholder: Nicola Lee E-mail: welfare@queensburyrc.co.uk Responsibilities: Advise and support the club officers and committee members to implement welfare policies and procedures, and to support the club to adhere to codes of conduct and good practice. Ensure that all club coaches, officials and volunteers have completed a volunteer recruitment process, which includes volunteer reference forms & DBS checks where required. Assist in ensuring that this process is completed in a timely manner. Complete a yearly club audit of all volunteers, which should include training needs, awareness and understanding of polices. Ensure there is a process in place within the club for auditing DBS checks and UKA Licences of all relevant coaches, officials and volunteers to ensure they are regularly updated (every three years). Respond to suspected breaches of the welfare policies and procedures that may be referred to them, in accordance with the club’s welfare procedures. Advise and support other club officers or committee members on how to respond appropriately in accordance with the procedures. Report any concerns about abuse to the UKA Lead Safeguarding Officer in the first instance. To inform the Management Committee in advance of any meetings that cannot be attended.

Glenn Thornton - Race Director

RACE DIRECTOR Current Roleholder: Glenn Thornton E-mail: race@queensburyrc.co.uk Responsibilities (with support from the Race Committee): Pre-race arrangements, including: Select date, time & course for race Obtain necessary permissions / license Organise helpers for setting up the race course & water stations, and dismantling & rubbish collection / recycling Organise Starter, Timekeepers, Statistician & Marshals Agree Mementos / Medals (in conjunction with Treasurer & Awards Coordinator) On race day, including: Check the course before the race start Cones / Tape / Finish Funnel On the day registration Water Stations / rubbish collection Run through Health & Safety with Marshals and race participants Directions to Start Line Start the race! Recording finish times and positions (Timekeepers) Handing out mementos / medals Determine prize winners Post-race arrangements, including: Submit data from Timekeepers to Statistician Receive results from Statistician Liaise with Race Results Officer To inform the Management Committee in advance of any meetings that cannot be attended.

Phillip Whettlock - COACHING COORDINATOR

COACHING COORDINATOR Current Roleholder:  Phillip Whettlock E-mail: coaching@queensburyrc.co.uk The coaching coordinator will set up a vibrant coaching structure, to assist athletes to improve their performances; arrange mentors to support coaches to progress to the level they aspire to; and recruit new coaches. Person specification It is desirable for a Coaching Coordinator to be: As highly qualified as possible – preferably ‘Level 2’ or above, or new ‘athletics coach’ qualification Willing to be UK Athletics CRB checked Typical responsibilities: A Coaching Coordinator, with the support of the club committee, has the responsibility to: Set up an appropriate coaching structure for the club, based on its’ size and focus Identify any gaps in the structure Resolve gaps by encouraging coach development within the club Hold coach sub-committee meetings or forums to discuss coaching issues Keep up to date with the new UKA Coach Education Programme Advise coaches, and potential coaches, when and where appropriate coach education courses are taking place Liaise with the England Athletics regional development manager to request courses in your club or Network of clubs based on need Liaise with your club welfare officer to ensure all coaches are CRB checked and aware of the new vetting and barring procedures Develop links with coaching coordinators in neighbouring clubs and share good practice

Pauline Naylor - Social Secretary

SOCIAL SECRETARY Current Roleholder: Pauline Naylor E-mail: social@queensburyrc.co.uk Responsibilities: The role of the Social Secretary is to bring the club members together This includes organising various social events, ranging from the annual Christmas party, the West Yorkshire Winter League Hospitality when hosted by Queensbury, the Runner of the Season and Annual Awards Ceremony and any other social events as and when required They work closely with the rest of the committee in order to ensure smooth running of the events, in particular the Club Secretary for assistance as and when required

RACE RESULTS OFFICER - Race Results Officer

RACE RESULTS OFFICER Current Roleholder: Vacant E-mail: secretary@queensburyrc.co.uk Responsibilities: Responsible for the reporting of all races on our official QRC Social media pages and the QRC website. Keeps an eye out for upcoming local races and help the committee promote to members to support other local clubs. Attend monthly QRC committee meetings offering ideas/help towards the smooth running of the club.

David Bean - Awards Coordinator

AWARDS COORDINATOR Current Roleholder: David Bean E-mail: awards@queensburyrc.co.uk Responsibilities: To co-ordinate the awards throughout the year To work with the committee to open up nominations and facilitate the winners To budget and arrange for appropriate trophies, awards etc

Andrew Dovernor - CLUB KIT MANAGER

CLUB KIT MANAGER Current Roleholder: Andrew Dovernor E-mail: kit@queensburyrc.co.uk Responsibilities: Place orders for any club kit required Store club kit and monitor stock levels Provide a  pop-up shop at the club on a weekly basis and collect payment for any stock purchased Collect kits from the suppliers and provide payment. Pass all monies for the kit to Andy Dovenor Liaise with the QRC committee regarding requests made by club members for any kit that is not the usual stock Investigate alternative kit providers to ensure best value for money and service.
